Key RequirementsQualifications
- National Senior Certificate (Matric) with Higher Grade Mathematics and Accounting (strong symbols).
- B.Com or similar qualification advantageous.
Skills
- Proficient in MS Excel and MS Word (minimum requirement).
- Strong organizational and administrative skills.
- Excellent verbal and written communication in both Afrikaans and English.
- Good interpersonal skills.
- Own reliable vehicle and valid driver’s license.
Knowledge (Advantageous but not Required)
- Pastel Accounting
- U-Filing, E-Filing, EasyFile
- Microsoft Outlook
- Experience in the property industry
Work Conditions
- Salary: R10,000 – R20,000 per month (based on qualifications and experience).
- Hours: Full-time, occasional after-hours availability to handle emergencies (e.g., burst geysers).
- Workplace: Office-based role.
Key Responsibilities1. Administration (15%)
- General office admin: filing, handling post, answering phones, courier logistics, and maintaining office orderliness.
- Assist owner with construction-related admin, including coordinating quotes.
2. Rentals Administration (55%)
- Manage online property advertisements (Private Property, Property24).
- Coordinate viewings (via current tenants, not in-person).
- Draft and renew lease agreements using templates.
- Maintain tenant statements, owner statements, and trust accounts.
- Manage trust account bookkeeping.
- Organize unit inspections, key handovers, and administrative follow-ups.
- Coordinate unit repairs and maintenance, including quote gathering.
- Reconcile water and electricity accounts and notify tenants of shortfalls.
- Handle arrears collections and process debit orders.
- Communicate with owners (primarily via email) about contract statuses and payments.
- Maintain commission schedules and management contract summaries.
- Address tenant and owner inquiries.
3. Complex Management (10%)
- Prepare and send monthly levy statements for complexes.
- Manage maintenance and garden staff for complexes.
- Follow up on outstanding levies and collections (e.g., final notices).
4. Bookkeeping (30%) The business involves property transactions, development, construction, project management, and investments. Multiple company books need periodic updates, including bank reconciliations.
- Submit monthly PAYE returns.
- Prepare payslips and IRP5s.
- Submit VAT returns.
- Handle bookkeeping using Pastel Accounting.
- Prepare annual tax returns.
Language Requirements
- Fluent in Afrikaans and English (spoken and written).
