Job description: Job Summary Your basic key responsibilities are but not limited to:
– Write and distribute email, correspondence memos, letters, and forms.
– Calendar Management
– Setting up & confirming meetings (online, in-person, and calls)
– Administrative tasks
– Managing & updating databases
– Managing meetings and taking minutes if required
– Assisting in the preparation of regularly scheduled reports.
– Maintain contact lists.
– Focus on excel spreadsheets- will be required to pull reports.
– Liaise and team with Key Support Staff and Directors to ensure that all tasks are completed within required
deadlines.
– Personal Arrangements such as medical appointments, client meetings, transport, travelling,
exams, events. Ad hocRequirements:
– Experience as a Personal Assistant
– Knowledge of office management systems and procedures
– Excellent experience with MS Office (Word, PowerPoint, Excel)
– Excellent time management skills and the ability to prioritize work.
– Attention to detail and problem-solving skills is of importance.
– Great written and verbal communication skills
– Strong organizational skills with the ability to multitask and be proactive.
– Ability to cope under pressure and work in a fast-paced environment.
– Available and flexible to work overtime as and when required after hours and Public Holidays,
willing to assist occasionally on weekends in urgent situations.
– Available to work a 10–12-hour shift for the day- to attend to any queries as requested by
Directors.
– Own transportation will be advantageous.
