LOCATION: Hybrid Office-based Parktown, Gauteng
R 360 000 per annum CTCPURPOSE OF POSITION:
The MICE Project Manager will play a key role in the planning, coordination, and successful execution of corporate events, conferences, exhibitions, and incentive programs. This role demands an individual with excellent organizational skills, the ability to manage multiple projects, and a deep understanding of MICE processes. The Project Manager will oversee logistics, budgeting, and the overall execution of events, ensuring they align with client goals and budgets.ESSENTIAL DUTIES AND RESPONSIBILITIESCore Responsibilities
- Program Implementation/Administration: Support the full process from event conception to execution, ensuring all elements are in place for smooth delivery.
- Planning, Coordination, and Execution of MICE Events: Deliver high-quality MICE events that meet client objectives, deadlines, and budgets.
- Logistical Oversight: Manage logistics independently, including venue selection, transportation, accommodations, catering, and on-site event operations.
- Program Strategy and Administration: Oversee MICE program strategies, ensuring alignment with organizational goals and client needs, including managing schedules, contracts, and budgets.
- Budget Management: Track and manage event expenses, ensuring cost-effective solutions are implemented.
- Relationship Management: Communicate effectively with internal teams, clients, and vendors to ensure satisfaction and alignment on goals.
- Project Documentation and Reporting: Create detailed timelines and provide regular updates on project progress, preparing post-event reports and evaluations.
- Quality Control and Problem Solving: Troubleshoot challenges, address issues proactively, and ensure the highest standards are met throughout event execution.
- Team Collaboration and Support: Foster a collaborative environment and assist the team in meeting deadlines and objectives.
Data Management and Reporting
- Manage and maintain data in project management systems (Qondor/AGM) throughout sourcing, planning, and billing.
- Ensure data accuracy and provide reporting as needed to support the MICE division.
Compliance Management
- Implement programs in compliance with client guidelines and company policies.
- Ensure client programming initiatives adhere to regulatory and corporate guidelines.
Operational Excellence
- Manage day-to-day budgets and ensure they stay within approved spend.
- Resolve service issues with suppliers and escalate to management when necessary.
- Prepare operational documents, logistical plans, and program specs for seamless event execution.
- Ensure on-time delivery and continuous improvement of departmental processes and tools.
Finance and Cost Management
- Ensure accurate financial management, including pricing, invoicing, supplier payments, and budget control.
- Ensure efficient use of company resources and technology for error-free transactions.
QUALIFICATIONS
- Experience: Proven track record in MICE project management or event planning.
- Education: Relevant qualifications in event management, business, or related fields.
- Skills: Strong organizational, time-management, and problem-solving skills; proficient in event planning software and financial reporting.
- Certifications: Project Management certifications or MICE-related qualifications are advantageous.
