Job description: Job Summary Our client has an exciting opening for an Administrator to join their dynamic team and play a key role in their organization.Main Responsibilities:
- Reception Management: Maintain and manage the reception area to provide a warm and welcoming environment for all visitors.
- Office Coordination: Co-ordinate office activities to ensure the efficient functioning of the workplace.
- Supply Management: Keep track of office supplies, corporate clothing, and marketing collateral. Place orders with the Finance Department and submit monthly reconciliations.
- Petty Cash Handling: Process Petty Cash pay-outs, update reconciliation sheets, and balance Petty Cash weekly and monthly for submission to the Finance Department.
- Trust Account Support: Assist with necessary documentation for daily payment runs and correspondence to producers. Handle daily delivery notes, submission of producer bookings, and assist with Buyer Card Reports.
- Financial Reporting: Assist with daily reporting to the Finance Department, including reconciliation of daily cash, eft, and Nedlink payments. Raise credit notes on Freshmark ReFresh System for buyer payments and maintain buyer information.
- Administrative Support: Assist Trader/s with administrative duties when required, such as checking consignment volumes against delivery notes.
- Switchboard: Handle phone calls and inquiries via the switchboard.
- HR Functions: Provide support for HR-related tasks when needed.
Minimum Requirements/Qualifications/Competencies:
- Grade 12 is essential.
- A Secretarial or Office Administration qualification would be advantageous.
- 3-5 years of experience in an administrative role is required.
- Must have a licence and own transport.
- Proficiency in standard software packages, including the MS Office Suite.
- Excellent oral and written communication skills in both English and Afrikaans.
- Attention to detail and the ability to provide timely and accurate information/reports.
- Capable of working under pressure while handling confidential information.
- Strong multitasking and organizational skills.
- Outstanding interpersonal and planning abilities.
- Deadline-driven and a team-oriented attitude with a positive and professional demeanour.
- Trustworthy, presentable, and reliable, with access to personal transport.
