Job description: Executive Personal Assistant – Property Development
Location: Century City
Working Hours: Monday to Friday, 08h00 – 16h30Our client, a dynamic property group, is seeking a professional and detail-oriented Executive Personal Assistant to support their Group CEO. This is an on-site role that combines executive support, property development coordination, and administrative excellence. The ideal candidate will be proactive, highly organized, and experienced in working with senior executives.Remuneration: R25 000 basic negotiableIdeal Candidate ProfileProfessional Experience:
- 4+ years as a Executive Personal Assistant experience, preferably with exposure to legal and/or property sectors.
- Experience with commercial and property contracts, project coordination, and financial tracking.
- Drivers Licence and own transport
Educational/Professional Background:
- Courses or formal education in legal, finance, or property development are advantageous.
- Familiarity with zoning laws, property trends, and investment processes is a strong plus.
- Knowledge of cross-border payment management.
Key ResponsibilitiesAdministrative Support
- Manage the executive’s calendar, schedule meetings, and organize appointments.
- Handle correspondence, emails, and phone calls on behalf of the executive.
- Prepare, edit, and maintain documents, reports, and presentations.
- Maintain confidential records and an efficient filing system.
Project Coordination
- Assist in property development project management, including tracking timelines and milestones.
- Liaise with contractors, architects, legal teams, and other stakeholders.
- Monitor project budgets, process invoices, and ensure timely payments.
- Compile reports and summaries related to property acquisitions, developments, and sales.
Client and Stakeholder Liaison
- Build and maintain relationships with key clients, investors, and stakeholders.
- Serve as the first point of contact for external parties.
Office Management
- Oversee daily office operations and ensure compliance with procedures and policies.
- Manage office expenses and assist with monitoring leave and absenteeism of office staff.
Financial Oversight
- Manage executive expenses, process reimbursements, and assist with financial tracking.
- Oversee contracts, lease agreements, and property-related documentation.
Meeting & Travel Coordination
- Organize business and personal travel itineraries, including accommodation and logistics.
- Record accurate minutes, prepare agendas, and provide executive information packs for meetings.
Event Planning
- Assist in planning staff and team events to enhance cohesion and morale.
This role is ideal for a seasoned PA with a strong understanding of the property industry, excellent interpersonal skills, and the ability to manage multiple priorities in a fast-paced environment.
