We are committed to delivering high-quality solutions to our clients and are seeking a proactive and organized General Administrator to join our team.Job Description:We are looking for a detail-oriented and efficient General Administrator to support the smooth operation of our business. This role is pivotal in ensuring that office processes run efficiently, and that internal communication and documentation are effectively managed. The ideal candidate will be a self-starter with excellent organizational and communication skills.Key Responsibilities:Administrative Support: Provide general administrative support to the management team, including answering phones, responding to emails, and managing correspondence.Document Management: Maintain and organize office files, contracts, and other important documents.Invoice Administration: Assist in the processing of supplier invoices and maintaining accurate financial records in collaboration with the accounts team.Purchase Orders: Process supplier, sub-contractor, and hire purchase orders, ensuring accuracy and timely submission. Track and manage purchase order approvals and payments.Scheduling & Coordination: Coordinate meetings, appointments, and travel arrangements for staff, and assist in the management of work schedules for field technicians.Customer Service: Act as the first point of contact for customers, handling inquiries, complaints, and ensuring excellent service delivery.Supply Management: Order and manage office supplies, maintain inventory records.Data Entry: Accurately enter data related to projects, client details, and supplier information into company databases and ensure records are up to date.External Information Requests: Send out onboarding forms/PQQs to new suppliers and subcontractors.
