Job description: Job Description :The Sales and Marketing Coordinator position will handle the full sales and coordination for all promotional spaces, including indoor and outdoor advertising, and media. Responsibilities include direct sales, marketing of spaces, contracting exhibitors, overseeing exhibition setups and breakdowns, and ensuring adherence to controls. The role also involves assisting with centre wide exhibitions and events, negotiating and securing sponsorships, networking with potential sponsors, liaising with event companies, reviewing proposals, and managing incoming sales calls. Additionally, this role supports the marketing team’s objectives and strategy. The Marketing Coordinator part of the role includes assisting with the implementation of the marketing strategy, coordinating events and exhibitions, handling marketing administration, public relations, tenant liaison, and managing digital platforms and social media.Duties:Exhibitions, Events & Indoor Advertising
- To ensure that the set annual sales income target is successfully achieved for both exhibition sales and indoor and outdoor advertising.
- To assist in conceptualizing, coordinating, implementation and selling centre-wide exhibitions and to ensure that all events fall within the marketing strategy objectives and ensure that the rules and regulations are adhered to at all times / OHSA compliance.
- To attend to all incoming exhibition and external promoter calls and web enquiries and proposals and to work with the marketing team with regards to all potential event opportunities.
- To manage the promotion court booking calendar, sales and events and to ensure that proactive sales action is taken when courts are not booked.
- To liaise with all relevant departments to ensure communication between all departments.
- Social media stories: On day of event, ensure that there is sufficient coverage of the event, exhibitions including reshares from influencers and shoppers.
- Assist in conceptualising competitions and creating rules & regulations and assist in selecting winners.
- To take responsibility for all assets used in promotional court displays and in store rooms including flooring, stanchions and the likes. Ensure assets are properly stored and managed accordingly.
- Ensure all documentation is in order, full competition procedures are adhered to and that we are POPIA compliant.
- Assist in the coordination of all events including but not limited to, concept documents, briefing design, supplier quotes, service providers, artwork requirements, work permits, deliveries and collections and installations etc.
- Ensure event information and images is included in tenant updates, website and all newsletters
Sundry Sales & Service Providers
- To act as the day-to-day centre’s liaison with all service providers contracted to sell media, space, advertising platforms, event coordination.
- To investigate further opportunities to increase sundry space income in the internal and external areas of the centre.
- To coordinate all approvals, contracts, invoicing & payments.
Sponsorships
- To assist with negotiating joint ventures, partnerships, and sponsorships where possible to further maximise and centres budget.
Administration
- To submit monthly reports detailing a full evaluation of the promotional courts and upcoming exhibitions and possible reporting for events and campaigns.
- Assist in compiling requested monthly reports eg: foot traffic report, Google report, tenant feedback.
- Assist with completion of Monthly marketing report.
- Ensure that tenant, supplier, and client databases are consistently maintained with accuracy.
- To ensure that all processes and administrative controls including plans for the function are always adhered to and that contracts and monies are received before the client is allowed access to the space booked.
- To ensure that no client is in arrears and to facilitate any legal course of action that need to be taken.
- To maintain files of all exhibitors’ contracts, proposals, and relevant paperwork.
Tenant Liaison and Communications
- To provide copy to the Marketing Manager on all highlighted exhibitions and promotions for the Tenant Broadcasts, Sneak Previews, Email Newsletters and Website.
- To ensure publicity for all exhibitions and external promotions where relevant.
- To liaise with tenants and regional head offices on an ongoing basis to encourage use of the promotional areas and to consider opportunities for possible co-events.
- To handle all tenant and customer complaints relating to the exhibitions and booked promotions.
- Assist with sourcing content & brief into design for the shopper newsletters and monthly tenant newsletters using relevant online platforms.
- Once approved, liaise with the National digital manager to send out all tenant and shopper communication. Ensure all shopper database information is always POPIA compliant.
Assist with the marketing function and to lend support to the team on site.
- To assist with various tasks as and when required with the aim of achieving marketing objectives.
- To assist and provide support to ensure implementation of all marketing strategy objectives.
- To be available for overtime work, fall into weekly/weekend duty roster, and to be available for event work as and when required including weekends and after hours.
- Assist in implementation of digital strategy with Marketing manager and Digital Team.
Digital – website & app
- Assist with website updates (news, events, exhibitions, store directory, tenant promotion, contact details, photo gallery etc)
- Ensure that the full event and promotion calendar information is kept up to date on the website.
- Coordinate the dissemination/ loading of information to all communication channels including but not limited to Website, social media, iPoint, CGTV.
Digital – social
- Assist in the management of online communities and respond timeously to all comments, enquiries etc.
- Create and manage all daily social media story content to maximise exposure on events, stores promos and in-centre updates and re-share influencer and store content.
- Ensure that story highlights are kept up to date with all events and campaigns.
Requirements
- Matric Certificate and relevant post matric qualification and Industry relevant diploma/ degree.
- 2 – 3 years working experience in a retail marketing sales / marketing assistant or similar role.
- Minimum 2 -3 years marketing experience preferably in a retail marketing role.
- Understanding of public liability insurance and how it relates to 3rd party exhibitors and event organisers.
Expected salary: R300000 per year
