Job description: Office Administrator/Accounts Assistant – StellenboschFull job descriptionA dynamic company specialising in renewable energy is looking for a reliable and detail-oriented Office Administrator / Accounts Assistant to join our team. This role requires a highly organised individual capable of handling various administrative tasks, managing office operations, basic fleet management, and performing essential accounting duties, including debtors and creditors capturing. The successful candidate will support the efficient functioning of our office and contribute significantly to financial and operational management.Key Responsibilities:Office Administration:Manage daily office operations, ensuring a well-organised, efficient, and professional environment.Oversee office supplies inventory, ordering when necessary, and ensure office equipment is well-maintained.Handle incoming and outgoing communications, including emails, phone calls, and mail.Coordinate with vendors and service providers for office maintenance and supplies.Basic Fleet Management:Assist in tracking and maintaining company vehicles, including scheduling regular maintenance and handling fleet documentation.Monitor and report vehicle usage and related expenses.Debtors and Creditors Management:Perform data entry for accounts payable and receivable, ensuring accuracy in capturing invoices and payments.Reconcile supplier statements and assist in managing the aging of accounts to support cash flow.Follow up on outstanding payments with debtors and address queries from creditors.Bookkeeping Support:Assist with preparing invoices, capturing expenses, and processing transactions in our ERP system, Xero.Support month-end and year-end closing processes, including basic reconciliations.Prepare and maintain basic financial reports for management review.General Office Support:Assist with scheduling meetings, coordinating office events, and arranging travel when required.Maintain organised filing systems for both physical and digital records.Provide general support to other departments and management as needed.Requirements:Education: National Diploma or higher.Experience: Minimum of 3-4 years in an office administration or accounting assistant role, with experience in basic fleet management preferred.Skills:Strong organisational skills with a keen eye for detail.Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with Xero ERP system.Excellent communication skills, both written and verbal.Ability to multitask and prioritise effectively in a fast-paced environment.Additional Qualities:Self-motivated, with the ability to work independently and as part of a team.Trustworthy with a high level of integrity in handling sensitive information.A proactive attitude and willingness to assist in various aspects of office management and accounting tasks.Job Type: Full-timePay: R12 000,00 – R15 000,00 per monthEducation:Diploma (Required)Experience:Administrative office procedures, practices and equipment: 3 years (Preferred)Expected Start Date: 2025/01/06
